Terms & Conditions

Thank you for visiting our website. Should you chose to book a cottage holiday at one of our properties, these are our terms and conditions of hire. By making this booking you are entering an agreement with us.

1. CONTRACT OF HIRE

The contract will be between the owners of Swansea Valley Holiday Cottages (referred to as us or we) and the person making the booking (referred to as you or your) and all members of the holiday party.

When you submit a booking via our on-line reservation system you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us and you. A contract shall only arise when your deposit payment has cleared and your booking is subsequently confirmed in writing via a letter of confirmation sent by email.

If you book by telephone, by email or in writing we will take your name and address and contact details, then withdraw the dates from availability for three days while we wait for your deposit payment and booking form to arrive. This does not form a contract between us and you. A contract shall only arise when your deposit payment has cleared and your booking is subsequently confirmed in writing via a letter of confirmation sent by email.

Prior to arrival we must be provided with a full list containing the names and ages and contact details of all guests (which we will hold subject to our privacy policy).

The person making the booking must be at least 18 years of age and authorised to make the booking by all other members of the party.

2. PAYMENT

For all bookings a deposit of 35% of total rental is required and until this deposit is received any reservation made is provisional and may be varied or cancelled without notice.

Upon payment of the deposit and subject to acceptance of the booking you become liable for the balance of the rental which is due 4 weeks before the start of your holiday.

If a booking is made within 4 weeks of the commencement date of your holiday, then full payment will be due at the time of booking.

We reserve the right to re-let the property if payment is not received on time.

We accept the following payment methods: Bank Transfer, Cheque, Credit Card, Debit Card, Cash, Paypal.

3. CANCELLATION BY GUEST

If you cancel your holiday more than 4 weeks before it is due to start, we will retain your deposit, but will return any remaining balance paid.

If you cancel your holiday less than 4 weeks before it is due to start, we will retain all monies paid to us.

If we succeed in re-letting the property, all monies will be returned to you less an administration fee of £25.

We recommend that you take out cancellation insurance. If you choose not to then you accept responsibility for any loss that you may incur due to your cancellation. 

Please note that any monies retained by us as a result of a cancellation can be put towards another holiday at our cottages.

Any cancellations must be made in writing.

The date from which the cancellation applies will be the date on which the cancellation notice is received by us.

4. CANCELLATION BY PROPERTY OWNER

If we have to cancel your booking in advance due to unseen circumstances, for example fire, flood, destruction/damage to the property you will be refunded the full amount of the booking. These are sometimes referred to as “Force Majeure Events” and are beyond the control of the owner. 

If we have to terminate your holiday early for the above reasons you will be refunded part of the booking fee based on the time remaining.

Every endeavour will be made to find a similar property, but no further liability will fall upon ourselves.

5. PERIOD OF HIRE

Your holiday cottages will be available by 4.00 pm on the day of arrival. You are requested to vacate the property by 10.00 am on the day of departure. 

6. NUMBER OF PEOPLE

The number of persons using the holiday property is not to exceed the maximum number stated in the brochure, unless prior agreement has been reached.

We reserve the right to refuse entry to a property if the maximum number is exceeded. 

You shall not part with possession of the property or sub-let or share it, except with members of the party shown on the booking form.

7. PARTIES AND EVENTS

No parties or events unless prior agreement has been reached. This is out of consideration for guests staying in neighbouring cottages. 

We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition.

8. PETS

We accept pets in Bwthyn Y Saer, Y Stabl, Ty Cerbyd, Yr Hen Ysgol and Nant Y Plas holiday cottage.

We do not accept pets in the following holiday cottages: Hafod Y Wennol, Lloc Llo, Ty Gambo and Plas Cilybebyll.

There is a surcharge of £30 per pet per booking to cover cleaning costs.

Pets are not allowed upstairs in the bedrooms or on the furniture.

Pets must not be left unattended in the cottage and must sleep on bedding provided by the customer.

There are lots of dog walking opportunities on our 120 acres and in the surrounding area. Please be aware there may be animals in our fields, and only take dogs into fields with animal whilst on a lead. Please also make sure you obey the Countryside Code and close any gates behind you. 

You are liable for any damage caused by your pets and are asked to remove all evidence of your pets (e.g. dog hairs) before departure.

9. WIFI

WiFi is provided free of charge.

By using the Swansea Valley Holiday Cottages Wi-Fi network you are agreeing to reasonable and lawful usage of the service.

10. LINEN, COTS AND HIGH CHAIRS

All properties will be furnished and equipped for the number of people stated on the booking form.

Sheets, towels and other linen are provided free of charge.

Cots (supplied with mattresses but without blankets) and high chairs are available on request and are provided free of charge.

11. ELECTRICITY AND HEATING

There is no additional charge for electricity and central heating.

12. ELECTRIC VEHICLE CHARGING

Domestic EV chargers (‘trickle chargers’) that use a domestic 3-pin wall socket are not suitable for use in our properties as they will create a fire hazard. The use of domestic chargers is therefore forbidden.

Information on nearby EV charge points is provided in the cottages.

13. CARE OF PROPERTY

A condition of acceptance of any booking is that you will take good care of the property and its contents.

You will be liable for breakages caused during your occupation, and will be expected to leave the property (particularly kitchen utensils and appliances) clean and tidy.

Extra cleaning will be charged for.

As a courtesy to all guests, smoking is not permitted within the properties.

If you have booked more than one cottage, please don’t move items either internal or external from one cottage to another. If you would like to move something such as a BBQ, please inform us.

Please leave the cottage as you find it.

14. FARM SAFETY

We do our best to ensure that Plas Farm is a safe environment.

You are responsible for the supervision of all members of your party under the age of 18 at all times. This is particularly important around the farm and grounds which has a river, streams, fences and ponds as well as livestock.

We cannot be held responsible for any loss or accident that might occur if you do not closely supervise those for whom you are responsible.  

Please ensure your children do not use the farm buildings as play areas, and do not play on any farm machinery.

The speed limit is 5mph around the farm. Please ensure that you stick to this speed limit for the benefit of children and animals that may be sharing Plas Farm with you.

The use of drones is not allowed without our written permission.

Fireworks are not allowed without our written permission.

Night lanterns are forbidden as they are a fire hazard and can cause death or injury to local livestock.

17. COMPLAINTS

If you are not satisfied with the accommodation provided please inform us in person during the holiday.

We shall take every step to ensure that complaints are dealt with speedily. We value your custom and want you to return.

18. LIABILITY

We are absolved of all liability for accidents, loss, theft or damage to guests personal property. Emergency numbers may be found in the information folder in your cottage.

If you leave any property behind we will use reasonable endeavours to return it to you, although we reserve the right to charge you in advance for any reasonable postal or courier costs. We may dispose of any unclaimed property after six months.

19. RIGHT OF ENTRY

If we need to enter the property for the undertaking of necessary repairs or maintenance, prior notice will be given wherever possible and privacy will be respected at all times.
